Start with the venue and audience
Tell the supplier whether the function is in a hall, a church building, a marquee or on open ground. Give the venue name, location and expected attendance. If possible, share photographs of the venue and the proposed stage position.
Explain who will use the microphones
List the MC, speakers, panel members, choir and performers. Will a presenter move around the room? Will several people speak from the stage together? Distinguish a PA system from band equipment

Compare the scope, not just the total
