For a small presentation, consider a smart TV
A smart TV can be an option when a small group is seated close enough to read the display. Think about the size of text in slides and spreadsheets—not only whether the screen fits in the room. Tell the supplier where guests will sit and how the presenter will connect a laptop.
For a screening, discuss projection conditions
An HD projector may suit a film screening or presentation when the venue can provide suitable lighting conditions, a projection surface and space for the equipment. Ask the technical team to assess the room. Bright surroundings can make projected content harder to see, so describe the lighting and time of day in your enquiry.
For a larger display, discuss an LED screen
Capital Connections offers LED big screens up to 10 × 5 m. The largest available size is not automatically the right choice: explain the audience layout, venue and content first. For an outdoor function, ask the team to assess suitability and installation requirements rather than assuming every display can be used in any conditions.
Prepare the content as well as the equipment
Tell the supplier whether you will show slides, video, a presentation with sound or several sources. Confirm connection requirements and the preferred content format. Test the actual files before guests arrive, and keep a local backup where practical. Check the smallest slide text from the back of the planned seating area.
What to include in your quote request
For example: “We have an NGO workshop in Lilongwe for [number] delegates. The room has [lighting conditions], and the furthest seats are about [distance] from the screen. We will show slides and a video with sound from a laptop. Please advise whether a TV, projector or LED screen is suitable.” Include your date and venue so the team can discuss availability.
