A crusade or church convention can move from announcements to choir singing, preaching and a full praise team within one programme. Sharing that running order early helps the technical team plan the sound and stage around the gathering.
Build the brief around the programme
List each part of the service and who is involved: the MC, choir, praise team, visiting preacher and any guest performers. Note when people change over and whether music continues underneath speaking. For a convention running over several days, send the programme for each day rather than assuming every session uses the same setup.
Describe the ground and stage
Explain whether the gathering is indoors or outdoors, how the congregation will be arranged and where the stage will stand. Share venue photographs and access details. Discuss stage platforms, aluminium trussing and roofing where needed. Have the technical team assess the site and weather arrangements; a roof alone is not a complete outdoor-event plan.
Ask the praise team for its requirements
Confirm the number of vocalists and instruments, and ask what equipment the musicians will bring. A choir and a full live band have different microphone and monitoring needs. Share these requirements before the quotation is agreed so the team can discuss the appropriate setup.
Coordinate sound check and the service
Agree on a setup window and a time when the people using the microphones can attend sound check. Nominate one organiser to communicate programme changes to the operators. If an evening session is planned, include lighting in the brief rather than adding it after the stage has been arranged.
Keep one shared checklist
Before the gathering, confirm the date, venue, attendance estimate, programme, performer requirements, stage needs and finish time. Ask the venue and technical team to agree power and cable arrangements. For an Area 49 church gathering or a convention elsewhere, the useful starting point is the same: one clear brief and one organiser coordinating the details.
